Account Information:

• Email address (for account creation and authentication)

Audio Recordings:

• Voice recordings you create within the app
• Transcriptions generated from your recordings
• AI-generated summaries of your recordings

Location Data:

• Approximate (coarse) location, used to provide location-aware features and improve service relevance

Usage Data:

• Recording duration and timestamps
• App settings and preferences

Third-Party AI Processing (OpenAI)

Smarty Voice Notes uses OpenAI (openai.com) to power its AI features. By using the app you agree that the following data may be sent to OpenAI for processing:

• Audio recordings — sent to OpenAI's Whisper API to generate text transcriptions. OpenAI processes the audio solely to produce the transcript and does not use API-submitted data to train its models under its API data usage policy.
• Transcription text — after transcription, the resulting text is sent to OpenAI's GPT-4o mini model to generate AI notes, summaries, and action items. The original audio is not sent at this stage.

OpenAI's handling of your data is governed by the OpenAI Privacy Policy. We do not send any other personal information (such as your name or email) to OpenAI.

How We Use Your Information

• Transcription Services: Your audio recordings are sent to OpenAI's Whisper API to generate text transcriptions.
• AI Notes & Summaries: Transcription text is sent to OpenAI's GPT-4o mini to create summaries, key points, and action items based on your preferences.
• Account Management: Your email is used for authentication and account-related communications.
• Service Improvement: We may use aggregated, anonymized data to improve our services.

Data Storage and Security

• Your data is stored securely using industry-standard encryption
• Audio files and transcriptions are stored in secure cloud infrastructure (Supabase)
• We implement appropriate technical and organizational measures to protect your data

Data Sharing

We do not sell your personal data. We may share data with:

• OpenAI: Audio recordings and transcription text are processed by OpenAI as described above
• Cloud Infrastructure: Supabase for secure data storage
• Legal Requirements: When required by law or to protect our rights

Your Rights

You have the right to:

• Access: Request a copy of your personal data
• Delete: Delete your account and all associated data at any time through the app settings
• Export: Copy your transcriptions and summaries from the app

Data Retention

We retain your data for as long as your account is active. When you delete your account, all your recordings, transcriptions, and personal data are permanently deleted from our systems.

Children's Privacy

Our service is not intended for children under 13. We do not knowingly collect personal information from children under 13.
